Setting Joya up has a natural order: some things cannot be created until others
exist. This is that order.
1. Airports → Airports
Everything references them: departures, destinations, bases, recency. Check the
timezone offset on any airport in a daylight-saving country.
2. Aircraft types → Aircraft types
Create each type you operate.
3. Crew positions → Crew positions
The global list of seats and the order they appear in everywhere. Press
Save order — the order is a draft until you do.
4. Aircraft crew positions → Aircraft types
For each type, switch on the seats it carries and give each one an operator
name. Nothing can be crewed until this exists.
5. Fleet → Admin → Fleet (Fleet)
Add your aircraft: registration, serial number, MTOW, home base, capacities.
6. Privilege groups → Privileges
Define roles before you create people — every user needs a group.
7. Flight editing validation → General settings
Decide, per rule, what is Off, Warn or Error. This is the single
most important setup decision: it determines what Joya will refuse to save.
8. Users → Users
Create staff and crew. For anyone who flies, fill in the National ID — it is
printed on the Crew List and is easy to forget.
9. Ratings → Users → Ratings
Give each crew member their seats per aircraft type. Until this is done they
cannot be assigned to a flight — the crew picker will simply be empty.
10. Duty types → Duties setup
Define the duties your roster uses, and set the AOC flag on those that
should count toward FTL.
11. Endorsements → Endorsements
Define each qualification, its validity, its revalidation window and the
positions it applies to.
12. Personal endorsements → the crew member's record
Enter each person's own numbers and dates.
13. Expiry notifications → Endorsements
Set the intervals, channels and recipients so lapses are caught early.
14. Email and SMS → Email and SMS settings
Configure the provider, then Verify connection, then save, then Send
test. Nothing — password resets, expiry reminders, crew notifications — works
until this does.
15. Push and messaging → Message, push and authentication
Only if you use the crew app.
16. Journey log fields → Journey log fields
Choose which fields your operation captures and which are mandatory.
17. Job alerts → Background jobs
Add recipients so somebody is told when scheduled work fails.
Build one real trip end to end:
If all five work, the setup is sound.
| Symptom | Almost always |
|---|---|
| Crew picker is empty | Ratings not assigned, or seats not enabled on the aircraft type |
| No emails at all | Email settings never verified and saved |
| National ID blank on documents | Not filled in on the user records |
| A user sees a blank page | Privilege level mismatch — see Privileges |
| Position order wrong everywhere | Save order was not pressed on Crew positions |
